Document Controller

Main Purpose of the Role

To maintain and control the influx and issue of drawings, specification, surveys and trackers, to ensure all departments have the latest information that has been processed through the workflow system. To develop the workflow system to the requirements of the business.

Key Accountabilities

  • To QA check all drawings / documents received.
  • To manage several sites simultaneously.
  • Drawings & documents issued by the design team & subcontractors must meet with QA protocol.
  • The issuing of drawings & information for construction purposes.
  • Downloading & printing of drawings from system for review by the Design Manager.
  • Ensuring drawings are filed in order in the Master A3 folders held in the design office & site office are kept up to date with regular audits against the drawing register.
  • Responsible for the general day to day management of the document control system for the project.
  • Monitor consultants uploading information ensuring document titles and reference are aligned identify issues and close them out efficiently.
  • Provide training for new starters on how to use the document control system.
  • Maintain office & site drawing rack when required, including dedicated one day per week for site visits and site office drawing rack audit.
  • Ensure all users of document control system have correct permissions levels and accessibility.
  • Library updates.
  • Issuing subcontractor drawings.
  • Maintaining internal drawing registers.
  • General filing duties.
  • Dealing with telephone enquiries for the Design team.

Skills and Abilities

  • Ability to use own initiative as well as working effectively as part of a team
  • Excellent time management skills with the ability to prioritise own workload
  • First rate communication skills both written and verbal
  • Excellent attention to detail

Experience Required

  • Programming of 4Projects workflow
  • Operation of 4Projects
  • Knowledge of Microsoft Office, Excel & Word.
  • Experience of Fieldview would be preferred but not essential
